Community Platform

Manage residents, guards, gate access, complaints, facility management, and society operations after handover.

The Community Platform is where day-to-day society and building management happens after a project is handed over — residents, security, complaints, billing, facility management, and everyday operations. Data here is pre-populated from the project at handover, so residents and units don't need to be set up from scratch.

Who can do this

Manage residents

Go to Community → Residents to view and manage resident records for a project — contact details, unit assignment, and household members.

Manage security and gate access

  • Gate passes — issue and track visitor gate passes.
  • Guard activity — review logs of guard check-ins and rounds.
  • Patrol coverage — review security patrol coverage across the property.
  • SOS history — review emergency alerts raised by residents or guards.
  • Child exit — track authorised pickup/exit for children on the premises.

Handle complaints

Go to Community → Complaints to log and track resident complaints through to resolution.

Facility management

Go to Community → Guards, Staff, Vendors & Facilities to manage the physical assets and ongoing maintenance work of the property, alongside your existing staff and vendor records.

  • Asset register — every lift, generator, pump, and fire system, with its location, install date, and linked AMC contract.
  • AMC contracts — vendor, contract value, and expiry, with automatic alerts before a contract lapses.
  • Preventive maintenance schedules — set a recurring task per asset (for example, "service the DG set every 90 days"). Marking a task done automatically rolls the next due date forward from the actual completion date, not the original due date — so a task completed a little late doesn't quietly compress the next interval.
  • Work orders — log a specific maintenance issue against a specific asset (or a general issue with no asset), assign it to staff or a vendor, and track it through to completion. Every work order has a priority (low/medium/high/urgent) and a response-time target — set your own targets per priority under Settings → SLA & Priorities, or a sensible default is used automatically. If a work order passes its target without being resolved, the committee is alerted automatically — nothing sits silently overdue with nobody told.

Manage community billing

Go to Community → Billing to manage maintenance charges and other billing for residents.

Track amenity usage

Go to Community → Amenity Utilization to see how shared facilities (clubhouse, gym, pool, and similar) are being used.

Manage parcels

Go to Community → Parcels to log incoming deliveries and parcels for residents.

Post notices

Go to Community → Management to publish notices to residents, or schedule one to publish automatically at a future date/time. Each published notice shows how many residents have actually opened it ("Seen by X / Y residents"), so you can tell whether an important notice was genuinely read, not just posted.

Manage documents

Go to Community → Documents to upload society bylaws, circulars, and compliance documents — visible to every resident. Set a real expiry date on a compliance document (a fire safety certificate, insurance policy, or occupancy certificate) to get an automatic alert to the committee before it lapses.

Moderate the community forum

Go to Community → Forum Moderation to review and moderate posts on the resident community forum.

Configure community settings

Go to Community → Settings to configure the operational settings for a specific community/society.
